Calculating ROI on Integrated Clinic Software

Calculating ROI on Integrated Clinic Software

Clinic software is an investment, and owners are right to ask what it returns. A fair ROI calculation counts the costs in full and the savings you can measure. It also records the baseline before go-live, so that the result is based on evidence, not on hope.

Step 1: Record the baseline

For four weeks before go-live, measure the things the software should improve: patient waiting time, billing errors, pharmacy stock losses, lab turnaround, staff hours on paperwork, and unbilled services. Write the numbers down. Without a baseline, any result is an opinion.

Step 2: Count the full cost

Subscription or licence fees for the full contract period
Hardware, network and any hosting costs not included in the subscription
Implementation, data migration and integration work
Training time for every role, including the hours staff are not seeing patients
Support fees and the cost of any extra modules

Step 3: Count the savings you can measure

Staff hours saved on registration, billing and paperwork
Fewer billing errors and fewer unbilled services
Less stock wasted through expiry, measured in value
Fewer repeat lab tests caused by unclear orders
Fewer lost patients through missed appointments, if your reports show it

Count only savings you can see in your own numbers. Do not add benefits that you cannot measure, and do not double-count the same saving under two headings.

Step 4: Compare over a fair period

Compare the total cost with the total measurable savings over 12 to 36 months. Include the first months, when the team is slower. A payback period, the time until savings equal costs, is often easier to explain than a single percentage.

A simple worksheet

Total cost over the period: subscription, setup, training, support
Measurable savings per year, from your baseline comparison
Net benefit: savings minus cost, for each year
Payback period: the month in which cumulative savings pass cumulative cost

Common mistakes

Counting revenue from patients who would have come anyway
Forgetting training time and the slow weeks after go-live
Using a vendor's example figures instead of your own baseline
Measuring only once, rather than after the team has settled in

Where MedeilPlus fits

MedeilPlus can help clinics set up the reports they need to measure their baseline and track changes, including billing, pharmacy and lab activity. Ask for a sample report from the demo, and use your own baseline numbers in the worksheet above. For the pricing context, check the current pricing page, because plans and modules differ by clinic size. For the wider integration case, read our integrated clinic software guide.

Frequently asked questions

How soon should a clinic see a return?

It depends on the baseline, the rollout and the modules. Track the measures monthly, and expect the first months to show the cost of change before the savings.

Should ROI be the only reason to buy?

No. Safety, compliance, patient experience and staff wellbeing also matter. Use ROI as one part of the decision.

Can I use the vendor's ROI calculator?

You can, but check its assumptions and replace them with your own numbers wherever you can.
