From Prescription to Dispensing: The Clinic Pharmacy Workflow

From Prescription to Dispensing: The Clinic Pharmacy Workflow

The path from a doctor's prescription to a medicine in the patient's hand has several steps. Each step is a chance to catch an error, and each one needs a record. A clear workflow, supported by the right software, makes the path faster and safer.

Step 1: The prescription is written

The doctor writes the prescription with structured fields where the system supports them. The prescription is saved to the patient record at the time of signing.

Step 2: The prescription reaches the pharmacy

The pharmacist sees the prescription on the same system, or receives it in a form that can be checked. A prescription should never reach the counter as a verbal instruction without a record.

Step 3: The pharmacist checks it

Patient identity and age, and any allergies recorded
Medicine, strength, form, dose, frequency and duration
Interaction or duplicate warnings, reviewed and recorded
Any question for the doctor, raised before dispensing

Step 4: The medicine is dispensed

The pharmacist selects the item and the batch, confirms the quantity, and records any substitution or partial supply. The record should show what was prescribed and what was given.

Step 5: The patient receives counselling

The patient receives the medicine with clear instructions, in a language they understand. Ask the patient to repeat the key points, and record any concern the patient raises.

Step 6: The sale is billed and recorded

The bill, the stock reduction and the link to the prescription are recorded together. Any return or credit note is linked to the original sale.

Step 7: The record is closed

At the end of the day, reconcile the sales and stock, and check that every prescription that was dispensed has a matching record.

Over-the-counter and prescription-only sales

Medicines that do not need a prescription can be sold at the counter, but the sale should still be recorded with the patient or customer details the clinic requires. Prescription-only and controlled medicines should never be dispensed without a valid prescription on record. Set the system so that these items cannot be sold without the required prescription link, and check the setting in your demo.

Common gaps in the workflow

Prescriptions re-typed by hand between systems
Substitutions not recorded
Partial supplies that are not shown as partial
Sales made without a link to a prescription

Where MedeilPlus fits

MedeilPlus connects the clinic prescription to the pharmacy point-of-sale, so the pharmacist sees the structured prescription and dispensing is recorded against it. Walk through this workflow in a demo using your own prescriptions, and confirm the substitution and partial-supply records. For the in-house set-up, read clinic pharmacy software and in-house dispensing.

Frequently asked questions

Should every prescription be checked?

Yes. Every prescription should be checked before dispensing, whatever the system does.

What if the pharmacist has a doubt?

Ask the prescriber before dispensing, and record the question and the answer.

How long should prescription records be kept?

It depends on local rules. Confirm the retention period with your regulator or adviser.
